Terms & Conditions

Here you will find some general reservation information and cancellation policies for our Shenandoah Valley bed and breakfast lodging and pet friendly guest rooms in Vesuvius, VA.

Children and Pets:Please note that The Sugar Tree Inn is most appropriate for adults and children 10 yrs of age older; therefore, children under the age of 10 are not allowed. Pets are only allowed in Shenandoah Suite, Rockbridge, or Cyrus McCormick rooms.If you arrive with a child under the age of 10 or a pet (and have not reserved a pet-friendly room), you will be denied accommodations and forfeit your deposit.

Deposits: Reservations are confirmed upon receipt of one-night’s deposit plus taxes. Full payment may be required on some weekends. If you booked our Non-Refundable, Non-Changeable rate, the full amount of the reservation will be collected at the time of booking. Any bookings made within 7 days of the reservation date will have the full amount collected at the time of booking.

Cancellations: A 14-day cancellation notice is required for a full refund (less a $30 cancellation fee). Within 14 days, the deposit will not be refunded. Within 7 days, you will be charged for the full amount of your booked stay. Only nights that get rebooked will be refunded for that night only (minus a $30 processing fee.) If you purchased the Non-Refundable option, this rate is non-refundable and non-changeable. The full amount of your stay along with any added items will be charged in full at the time of booking and will not be refunded in the event of cancellation. This is non-refundable regardless of the cancellation reason. We highly advise travel insurance. Why do we charge a cancellation fee? The credit card companies charge us at the time of booking and again when we refund money. The cancellation fee is to offset the money that we would not recover. We are a small hospitality business and appreciate your understanding of how cancellations affect us, especially last-minute ones. We are happy to be partnered with LodgingSafe Travel Insurance. Purchasing LodgingSafe will help protect you from unexpected hazards in travel. The "LodgingSafe Plus" plan includes the "cancel for any reason" benefit but requires the purchase within 21 days of the initial trip deposit and insuring 100% of the trip costs... Rest Easy Rate gives you peace of mind knowing you can cancel your reservation up until 48 hours before your arrival and receive a refund of your deposit less just 15%. A deposit of 1 night (plus taxes) will be collected at the time of booking.

This rate must be selected at the time of booking. If booking within 2 days of the reservation date, the full reservation amount due will be collected. If the reservation is cancelled within 48 hours of arrival (4pm on arrival date), the full amount of the reservation will be collected.

Cancellations due to weather will only be refunded if the road leading up to our driveway (Hwy 56) or our driveway itself is not passable. We highly advise any guests to look into travel insurance that would cover weather-related cancellations. We are a small business that can’t afford to cancel if your weather is bad but not ours. We appreciate your understanding of that.

Check-In: Check-in is 4:00 – 7:00 pm. Please let us know if you need to arrive later than 7pm. An early check-in or late check-out may be subject to additional fees. We often run errands before the 4pm check-in time, so please don’t worry if you arrive here before 4pm and we are not here to check you in. Please make every effort to not arrive before 4pm (unless you have added the early check-in option on your reservation. Early check-in is 2pm and must be pre-booked). We want to make your first impression a good one and often are not ready for early arrivals.

Check-Out: Check-out is 11:00 am.

Early Check-outs: Early check-outs are considered cancellations, and you will be responsible for, and billed for, the remainder of your reservation.

Internet and TVs: We are pleased to offer free Wi-Fi on our property, however, it is only available in the Main Lodge. The WiFi signal does not reach to the other buildings. We very much want you to disconnect to reconnect with your favorite person, therefore, you will not find TVs in the rooms. That's why you are interested in us right?!

Children: Sugar Tree Inn is most appropriate for adults and children 10 yrs of age and older; therefore, children under the age of 10 are not allowed. Please note that if you arrive with a child under the age of 10, you will be denied accommodations and forfeit your deposit.

Dining: A full breakfast for two is included with the room rates (up to four for Shenandoah Suite). We offer dinner service on Friday and Saturday evenings (you will be contacted a couple of days prior to your stay with the dinner options during your stay.) We do offer some mid-week/afternoon dining options as well. They include Bowls of Soup, Meatball Sub, Chicken Tender Meal, Hot Dog Meal, Chicken Caesar Salad, Charcuterie Board, or a Country Basket. Please note the mid-week/afternoon food options are not available for on-site purchase after 3pm on Friday and Saturday or after 6:30pm Sunday-Thursday. The Country Basket and the Charcuterie Board can be pre-ordered and ready upon your arrival.

Advance reservations are required for our Friday and Saturday night dinner service.

Fireplaces: Each room has a stone surround wood-burning fireplace (with the exception of St. Mary’s Cabin. That room has a propane-burning fireplace). Fireplaces are open during our colder months (typically late September-early May) and close during the warmer months. We do provide enough wood for you to have a romantic fire. They are not intended to be the primary source of heat, therefore, we ask that you be kind with your usage of the wood. Do not overload the firebox as that will cause damage. Please refrain from using the fireplace on the morning of your departure. We often have another guest coming into that room the same day and us trying to clean out a fireplace with an active fire makes it extremely difficult to have the room ready for the next guest. We appreciate your understanding.

Pets: Dogs are allowed only in our Shenandoah Suite, Rockbridge, or Cyrus McCormick rooms. You may bring up to 2 dogs (additional fee per pet, per night. At this time, we only allow dogs.) The animal must be in a kennel if you are not in the room with them. They also must be on a leash when outside your room. Pets are not allowed in the Main Lodge but are welcomed on the deck. If your animal is disruptive to our other guests (ie: excessive barking), you may be asked to leave. You will be responsible for any damages caused by the pet and the credit card on file will be charged for damages incurred. You are also responsible for any injuries caused to other guests as a result of your animal. Please note that if you arrive with a pet (and are not staying in one of our pet friendly rooms), you will be denied accommodations and forfeit your deposit.

Power Outages: We do occasionally experience power outages here up in the mountains, so if you do have something that requires power (i.e. CPAP machine), we encourage you to bring a back-up battery just in case. We do not give refunds if we experience a power outage as that is something that is out of our control. Other options would be discussed only if the power outage lasts for an extended period of time (more than 36 continuous hours.) Don’t worry! It has only happened once since we have been here.

Smoking: All of our buildings and rooms are smoke-free. You may smoke outside, and we have provided ashtrays for your use. A $250 recovery fee will be added to your bill should we find or smell evidence of smoking in your room.

Damages: Any damages, intentional or otherwise, will be billed to your credit card. This includes misuse of towels or washcloths.

Payments: We accept Visa, Mastercard, Discover, American Express, and of course cash.
